Groups planning a social function or business meeting to be held in conjunction with the Clinical Congress are required to obtain approval. If events are to be held at one of the participating venues/hotels, affiliate groups are required to secure event space through ACS.
These guidelines pertain to social and other events that are scheduled outside of the official ACS Clinical Congress, including but not limited to:
The Annual Clinical Congress commences on Saturday, October 4 at 8:00 am and adjourns on Tuesday, October 7 at 5:00 pm. Organizations, institutions, or exhibitors cannot conduct activities that would compete with the educational programming of the Clinical Congress. Ancillary events cannot be held during the times below due to ACS educational programming:
All meeting requests and off-site events must be approved and reserved through the ACS Convention & Meetings Division. Please complete and submit one form per function by May 8, 2025.
The ACS will assign your meeting room on a first-come, first-served basis and send an introductory email to the hotel contact. Approvals and space notifications will be sent in late July.
After space is assigned, the organizer is responsible for finalizing all arrangements and setting up billing with the venue for your event needs. It is understood that the ACS accepts no responsibility, nor does it endorse or consider your function to be part of the official program.
The main evenings for ancillary receptions are Sunday, October 5, and Monday, October 6, 2025.
